Size of the facility
A ten-bed clinic and a district hospital have very different needs. The number of users, workstations, departments and beds usually decides the scale of the system and therefore the price.
Which modules you need
Registration, consultation and billing are the core. Pharmacy, laboratory, radiology, wards, maternity, theatre, eye and dental clinics, accounting and payroll can be added as you need them. Paying only for modules you will use keeps the cost sensible.
Cloud, local server or both
Hosting online is simple to start. Running the software on a server inside your facility keeps you working through internet outages but needs hardware. Ask which options are available and who maintains them.
Setup and data
Setting up your services, price list, NHIA tariffs and staff accounts takes work. If you want to bring in existing patient or stock records, ask whether that is included.
Training and support
Training your staff and having someone to call when something goes wrong is where cheap systems often fall short. Ask what support is included, how you reach it and what it costs afterwards.
Questions to ask every vendor
Is the price one-off or recurring? What is included in setup? What does an extra user or module cost? What happens to my data if I stop paying? Are updates included?
