Hospital management system (HMS)
An HMS covers the whole facility: registration, queues, consultations, pharmacy and stock, laboratory and radiology, wards, billing, insurance claims, accounting and reports. It connects departments so a visit is entered once and flows through to the bill.
Electronic medical record (EMR)
An EMR is the clinical part: the patient's history, diagnoses, prescriptions, results and notes. It is one component of an HMS, not a replacement for it. An EMR alone will not run your pharmacy stock or your cashier.
Clinic software and pharmacy software
Clinic software is a smaller HMS for outpatient care. Pharmacy software focuses on dispensing and stock. A good HMS includes both, so a clinic with a pharmacy does not need two systems.
What a Ghanaian facility should expect
Beyond the basics, look for NHIA tariffs and claims, mobile money payments, SMS receipts, support for cash, NHIA and private insurance patients in the same flow, and the ability to keep working when the internet is down.
When do you need one?
If you still record visits in notebooks, struggle to reconcile cash, run out of drugs unexpectedly, or find month-end claims stressful, an HMS will help. Start with the modules that hurt most and add the rest later.
